Reservation/Deposit/Refund/Cancellation Policy:

A valid credit or debit card will be needed to reserve your event. A nonrefundable $100 deposit is required at the time of booking to reserve your date and time of event. The remaining balance is due 24 hours prior to your event. If final payment is not received 24 hours prior to your event, On The Fly Game Truck reserves the right to cancel your event. If you need to reschedule prior to final payment being received, we will make an attempt to reschedule your event within 30 days of the originally scheduled date based on availability. If the event is canceled within 24 hours of the scheduled date and time then the full amount of the event is due. Once final payment is received no refunds will be issued; however, once again we will be glad to make an attempt to reschedule your event based on availability. On The Fly Game Truck reserves the right to adjust reservation times in advance to accommodate for sufficient arrival time to your event.

Privacy Policy:

On The Fly Game Truck is committed to protecting your privacy. We use the information we collect on the site to make bookings as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.

Location:

The customer is required to provide a hard, safe, and relatively flat area for our Mobile Gaming Trailer to park. Street fronts are preferable as we do not pull or back into driveways. Our truck and trailer combination is very long and we will need a minimum of 8-9 parking spaces to park plus more to maneuver into the spot. If you do not have enough space, we recommend that you contact your local church, recreation center, or park and we will be happy to have the event there.

Travel Surcharge:

On The Fly Game Truck general service area is within a 40 mile radius from Manquin, VA 23106 (King William County). There are no travel fees for the first 20 miles, but we must add a fuel surcharge fee when we travel beyond 20 miles to an event. See our Service Area page for coverage areas.

Bad Weather:

Our gaming trailer was designed for all types of weather conditions. The theater is insulated and climate controlled with heat and air conditioning. There may be occasions when the weather does not want to cooperate with your scheduled party. In the event of severe weather (lightning, very high winds, flooding and/or extremely heavy rains, snow or ice) we may (and reserve the right to) reschedule your service to guarantee the safety of you, your guests, our staff and our equipment. If the threat of these storms threatens your party and you are aware in advance (pending or anticipated snow storm or other strong weather event) please contact us to begin the rescheduling process. We will call you to let you know if we need to reschedule due to bad weather.

Supervised Children:

On The Fly Game Truck does require a parent or responsible adult to be present inside or just outside of the trailer at all times. Guests under the age of 16 require a parent or guardian be on property and within contact of the game coach should a need to contact them arise.

Alcohol/Drugs:

You may serve alcohol at your event or party; however, we reserve the right to refuse, cancel or cut short any party or booking when alcohol is being served. Drugs of any sort will not be tolerated in or around the On The Fly Game Truck equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately.

Food/Drink:

On The Fly Game Truck does NOT allow any food or drinks within the gaming trailer. Please have your guests consume them outside of the trailer prior to entering.

Pictures:

While your party is in effect the Game Coach will be taking pictures of the party from inside and outside of the trailer. You will then be able to view these pictures on On The Fly Game Truck's Facebook, Instagram and Website platforms, as well as copy them to your files. If you do not want our Game Coach taking these pictures or posting them on social media and/or our webpage please notify us via email prior to the party. This is a service we provide to our guests so they can be sure to capture their party as it happens.

Damage/Injury:

On The Fly Game Truck LLC or any of its employees will not be responsible for any damage to property resulting from a request by the client to position the gaming trailer in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, On The Fly Game Truck reserves the right to charge the client’s credit card for damages and/or theft to the gaming trailer, equipment, and/or property resulting from the careless and/or willful damage of same by clients and guests. On The Fly Game Truck or its employees assume no responsibility for any injuries sustained on the clients property or their designated location. All liability for damages or injuries are the sole responsibility of the client and/or host. Customer will indemnify and hold harmless On The Fly Game Truck LLC for all damages or injuries that may occur in the inside or the outside of the gaming trailer while providing services.

Our Truck/Trailer:

When the truck pulls up, we will stay on a hardtop surface (such as established gravel, pavement, cement, etc.) and we will try to park in the most level & flat area or logical spot to accommodate your party. We will not pull or back into driveways. Sometimes, we park on your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. Please keep in mind that our Game Coach will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 60 feet of space to park. Additionally our Game Coach will never disconnect the truck from the trailer at a party/event without prior approval nor park off of a hardened surface.

Tips:

The Game Coach is there to make sure that your group is making the most of our high-tech fun. He/She tutors, inspires and entertains. Tipping is encouraged for good service.

Video Game Ratings:

On The Fly Game Truck will not play any “M” rated or higher game in the gaming trailer without authorization from the client prior to the party/event or adult approval at the time of the event. If you wish to have an “M” rated game or higher at your party/event please contact us, indicating the game you prefer or let the Game Coach know as soon as you can after he gets there.
